Overview

This tutorial is written for CareGARDWarranty.com (CGW) administrators. Using the CGW Admin menu, administrators can add dealers to CGW, find existing dealers, and make changes to dealer profiles.

Using this tutorial, you will learn how to manage dealers.

Manage Dealers

As the CGW administrator, you can add a dealer to the system. You can also locate an existing dealer and make changes to its profile.

1. Select Admin > Dealer Management from the left navigation menu.

2. In the Dealer Management dialog, you can add a new dealer or locate an existing dealer and make changes to its profile.

Adding a New Dealer

In the Add Dealer panel of the Dealer Management dialog, you can add a new dealer to CGW by clicking the Add Dealer button. This opens the Add/Edit Deaker panel:

Agency Group
If the dealer is associated with an agency group, select the agency group.
Dealer Group
Select the dealer group.
Dealer Name
Enter the dealer’s full legal name.
Abbr. Name
This is optional. You can enter an abbreviated name for the dealer here if, for example, the dealer has a very long legal name.
Address
Enter the street address for the dealer.
Address 2
Use this field to enter additional address details.
City
Enter the dealer’s city.
State
Select the dealer’s state.
Zip
Enter the dealer’s zip code.
Contact
Enter a primary contact for this dealer. This contact will represent the dealer.
Phone
Enter the dealer’s phone number.
Fax
Enter the dealer’s fax number.
Email
Enter the primary email address for this dealer. This should be the email address of the contact you entered above.
Default Days to First Payment
Enter a value for the default number of days when payments are due to the dealer for a customer deal.
Questions
Next, you use the Yes/No options to answer questions relating to the dealer. Make your selections carefully.
  • Allow Print for Delivery With No Products. We recommend always selecting Yes for this option. It allows dealerships to count all deals in CGW and determine whether or not products were sold to attain/calculate a true penetration percentage based on the true number of vehicles sold rather than just those deals that included F&I products.
  •  Is This a Service Drive Only? Select Yes for service drive only situations. If you select Yes, assigned users will not be shown any product offerings and can only process prepaid maintenance claims. At a single dealership, multiple stores or accounts can be set up as separate business operations for the Third-Party Administrator (TPA). For example, for ABC Chevrolet dealership, the F&I and accounting operations can be set up as a store in CGW with a different dealer ID (assigned by the TPA) than the ABC Chevrolet Service Department (also known as the Service Drive). The Service Drive can be set up as a separate store with a different dealer ID.
  • Show Surcharges from TPA System. This feature is only applicable for dealers that are set up to use eRating/eContracting. Two primary data configurations exist for eRating/eContracting: (1) CGW returns an acknowledgement that the contract was issued along with a contract number and system that is responsible for creating the contract PDF. (CGW currently does not allow for this.); (2) CGW returns an acknowledgement that the contract was issued along with a PDF of the actual contract issued.
  • Include Contract in Data From TPA System. If you select Yes, CGW will return a PDF contract on API IssueContract requests. This option is only applicable to dealers that use eRating/eContracting.
  • PayLink Enabled. If you select Yes, you will allow the dealer profile to link to PayLink. You must enter the PayLink Dealer ID. This option allows the system to generate a PayLink contract along with an associated VSC if the deal is configured this way. Sometimes lenders will not lend enough money to a customer to cover the vehicle and a VSC. If a customer wants a VSC in a case like this and the dealer is set up with PayLink, the dealer can use PayLink as a financing source just for the VSC. By selecting the PayLink option for a VSC within a deal, the amount of the VSC is not included in the lender amount financed for the vehicle (and possibly one or two ancillary products). The customer charge and monthly payment portion for the VSC is not included in the Loan 1 and (optionally) the Loan 2 fields. So, at the end of the deal, the customer will have two loans--one for the vehicle through the primary lender and one for the VSC through PayLink.
  • eSign Enabled. If you select Yes, CGW is notified that your dealership is using menu disclosure and F&I product contract eSigning capabilities.
  • Menu Enabled. If you select Yes, CGW is notified that your dealership is using menu-selling capabilities.
  • Show APR at Bottom of Menu. If you select Yes, the dealer will always see the APR at the bottom of the each column/tier of menu products rather than just at the top of the menu page.
  • Allow Single Tier Menu. If you select Yes, the dealer can use a specifically designed single-tier menu for selling products on CGW. Specialized training by the associated agent is usually required if this is set to Yes.
  • Allow Print for Delivery Without Selecting All Products in Top Tier of Menu. If you selectYes, CGW will allow a dealer to print a deal for delivery without having all products available for the deal type show up (and priced) in the top tier of the product menu. This is a compliance safeguard that, unless selected as Yes, requires that every customer of every deal of a specific type get presented with every product available every time.
  • DMS Enabled. If you select Yes, the dealer agrees to allow CGW to import deal information from and/or export sold product information into their Dealer Management System (DMS). If you enable DMS integration, you will need to enter more details and additional setup and monthly charges will apply. See the next few options in this table.
  • Allow Update to DMS. If you select Yes, CGW can electronically push updates to the selected DMS regarding products sold using CGW.
DMS Type
If you selected Yes for DMS Enabled, select the DMS Type, such as Reynolds and Reynolds.
DMS Additional Fee for Leases
If you selected Yes for DMS Enabled, enter the additional DMS fee that will be charged for leases.
DMS Fixed Fee for All Deals
If you selected Yes for DMS Enabled, enter the fixed DMS fee that will be added for all deals.
DMS Cash Indicator
If you selected Yes for DMS Enabled, enter the DMS cash indicator here. This is the term used for the lender on cash deals on this dealer's DMS. (Normally this is CASH or CASH DEAL.)
Add Another DMS Account
Click this button to add a new DMS account to CGW. You must enter the DMS Producer #, Store Number, and Branch Number.
Cancel
Click this button to cancel out of this process.
Save
Click this button to save your changes.


Finding and Editing a Dealer

1. In the Find Dealer panel of the Dealer Management dialog, you can find an existing dealer and make changes to it.

Select this radio button to search for the dealer by agency. A drop-down menu is displayed to the right where you can select the agency.
Agent
Select this radio button to search for the dealer by agent. A drop-down menu is displayed to the right where you can select the agent.
Dealer Group
Select this radio button to search for the dealer by dealer group. A drop-down menu is displayed to the right where you can select the dealer group. Select the Active Dealers Only check box to select only active dealers in CGW.
Search Dealers
Click this button to execute the search.


 

2. CGW displays your search results and provides you with several options:

Dealer
To edit a dealer’s profile, click their dealer name in the Dealer column. This opens the Add/Edit Dealer panel where you can make changes to the dealer’s profile.
Activate Dealer
Click this button to activate the dealer’s account in CGW. Until they are activated, they cannot perform CGW actions.
Retire Dealer
Click this button to retire the dealer’s account in CGW. You would want to use this feature if the dealership is no longer using CGW. This feature deactivates the dealer account.
